At Austin Community College District (“ACC” or “the College”), the guiding principles for predictable, responsive, and optimized scheduling shape the institution’s approach to course scheduling. These principles ensure a student-centered, data-driven process that prioritizes timely degree completion, collaboration across disciplines, and efficient use of resources. By considering factors such as course sequencing, modality, and district-wide priorities, ACC creates course schedules that are responsive to student needs and provide students with the best opportunities for persistence and completion.

ACC follows a multi-phase process to design and publish the academic course schedule for the upcoming academic year, ensuring it meets both student and institutional needs.

  1. Review and Planning for the Next Cycle: This will include a review of the overall scheduling processes, award information, and other data.
  2. Initial Draft: The process begins with the release of an initial draft schedule for the upcoming academic year. This draft reflects an initial cross-section of courses based on a predetermined set of parameters collaboratively developed and affirmed by the Vice Chancellor of Instruction.
  3. Review and Recommendations:
    • Instructional Deans and Department Chairs will review the draft schedule and provide recommendations for adjustments, including additions, deletions, or modifications based on student demand, instructional program requirements, and departmental needs.
    • In collaboration with key campus management personnel, room assignments will be made using clear and transparent methodologies. The aim is to assign sections to classrooms that best meet student learning needs and allow for space optimization. This process will ensure that physical resources are allocated efficiently while supporting diverse teaching methodologies and modalities.
  4. Finalized Schedule: Once recommendations are reviewed and approved as directed by the Vice Chancellor of Instruction, the schedule will be finalized and published. This final version will incorporate any necessary modifications to ensure alignment with the College’s goals and priorities.
  5. Ongoing Adjustments: Throughout the registration period, the College will continue to make adjustments to the schedule as needed, ensuring it aligns with the guiding principles of student-centered scheduling, responsiveness, and optimization.

Essential supporting components of ACC’s course scheduling process include:

  1. Collaboration and Coordination: The development of the schedule is a collaborative process that involves senior instructional leadership, campus management, and key stakeholders across departments. This ensures that the schedule is aligned with institutional goals, instructional program needs, and available resources.
  2. Transparency and Communication: The ongoing process, finalized schedule, and any modifications will be shared electronically, with clear communication provided by key centralized leadership as identified by the Vice Chancellor of Instruction.
  3. Continuous Improvement: ACC is committed to ensuring that the course schedule remains responsive to both student and institutional needs. The College will regularly assess the scheduling process to ensure continuous improvement. Evaluation of the academic schedule will use key metrics to identify areas for refinement and ensure alignment with the College’s goals.  These data sources include, but are not limited to:
    • college-wide enrollment ratios by instructional mode, time, and location
    • full-time enrollment rate as compared to previous semesters
    • instructional Planning Survey data as compared with actual enrollment
    • student-based progress metrics
